Job Description: Events Manager

Responsibilities of the Events Manager are to:

  • Managing specialised driven events to revenue and grow brand awareness
  • Managing and planning events from concept to execution for all specialised events, as well as providing assistance for planning media/marketing events
  • Manage 3rd party suppliers in certain instances/when required
  • Network with suppliers to ascertain their requirements per event
  • Build and maintain good relationships with Programming, Forbes Africa and Marketing, and the Bureaus
  • Build relationships by leveraging off the Sales team and Sales Support
  • Researching the most effective and creative way to carry out the event
  • Creating out-of-the-box and original events that demonstrate ABN Event Productions core concepts
  • Assist with the compiling of proposals for events, which may include timings, venues, suppliers, legal obligations and budgets
  • Assist with the management of event spending to ensure costs do not exceed the budget
  • Identify the target audience, for sales in conjunction with the sales team
  • Meet with the organiser/sponsors ensuring that the planning of the event is done within agreed time constraints
  • Identify, negotiate and manage significant strategic partnerships, alliances and relationships that support ABN 360’s current and emerging directions
  • Ensure all event contractual obligations are met
  • Ensure that insurance, legal and health and safety obligations are followed
  • Managing the operational activities of the event co-ordinators.
  • Carry out any other function or duty as directed by the Head and GM of Events.

Qualifications:

  • Minimum 5 years professional event management experience
  • Strong background in program management and execution
  • Relevant Degree/ Diploma in Events and Conference Management
  • Project management is an advantage

Job Description: Events Coordinator

 

ABN Event Productions is looking to select an events coordinator, to assist in creating and administrating corporate events with media components, in South Africa. You will gain knowledge of the South African and African business world through a variety of high-level events and will be exposed to a broad range of blue chip brands. In addition to the opportunity of learning about how a business runs, you will have several main areas of work and your role will involve assisting in the management of premium in-house events and client events.

Key Responsibilities:

Support the Events Manager with all administrative aspects relating to an event including but

not limited to, booking venues, dealing with suppliers, attending meetings, liaising with event

Stakeholders etc.

  • Work together with the Events Manager to ensure all aspects of events logistics are covered and attended to.
  • Attend to any client admin requirements on behalf of the Events Manager.
  • Draw up and monitor the timeline of an event. Adhere to all planning schedules
  • Compile event reports post- every event as and when required.
  • Ensure ABN Event Productions and client standards are upheld at all times.
  • Ensure time sensitive functions are executed timeously.
  • Maintaining a calendar of events for effective long term planning and management
  • Supervising and coordinating the activities of personnel, sub contractors and vendors
  • In charge of accommodation, schedules, travel, day plans and registration procedures
  • Assist in the planning and commit to adhering to it throughout the event coordination process.
  • .Source quotes from various potential vendors, present these to the client and secure contracts with those with whom the client is happy to deal.
  • Ensure that all contracts and deposits are in place within the required time.
  • Find and book venues and accommodation for the delegates / guests and speakers.
  • Manage the writing, printing and distribution of the invitations and the receiving of the RSVP’s.
  • Coordinate the distribution of marketing material, to a reasonable extent (that is, what the official marketing department do not handle themselves).
  • Find volunteers to assist with various aspects of the event (waiting staff, bar staff, parking attendants, ushers, and so on).
  • Record and distribute all minutes taken at various meetings, if necessary. Send out after the meeting to all parties.
  • Conduct any and all site inspections and give feedback on the venues
  • Maintain contact with external service providers to facilitate the smooth running of the event throughout the planning process.
  • Maintain the contact and mailing lists for the distribution of information.
  • Be present at the event(s) to ensure that everything runs according to plan.
  • Deal with any problems if and as they arise at the actual event.
  • They provide an expert touch, implementing the knowledge and skills of trained professionals.
  • Coordinators usually have excellent contacts and good working relationships with various service providers. This means that they can usually get good prices and use reliable vendors.

Qualifications:

  • Minimum 3 years professional event experience
